With M-Files, you can manage one or multiple data mailboxes with ease. The metadata card displays all essential details – such as the mailbox name, ID, owning organization, status, and the date of the last update. In the New Activity section, you can choose what to do: either download only the message headers (so the message is not marked as officially read and response deadlines are not triggered) or download the full message with all documents attached.

User rights are fully synchronized with ISDS. Permissions can differ – for example, read-only or send rights – and each user may have different access levels to the same mailbox.

In M-Files, you can view both incoming and outgoing data messages directly. When opening a received message, the metadata card shows all key details, including the sender, status, and other information retrieved directly from ISDS. From the New Activity section, you can take actions such as marking the message as read if it hasn’t been already.

Workflows can automatically notify specific users about new messages and related tasks. Replying to an incoming message is simple – just use the built-in action button in M-Files.

For outgoing messages, you can easily attach a document by uploading it to M-Files or selecting one from existing files in the repository. If the user has the right to send data messages, sending is straightforward – just choose Send Data Message. Each sent message is automatically saved as a multi-file document containing both the attachment and the ZFO file. Delivery and read receipts are downloaded automatically.
