SAE-Xelians Manager automatically archives your M-Files documents into Xelians’ certified Electronic Archiving System (SAE), giving you long-term, tamper-proof, probative-value retention without leaving your M-Files vault. SAE-Xelians Manager is a native M-Files vault application (VAF) published by Kpass Solutions. It transmits your documents and their metadata to the Xelians Electronic Archiving System (SAE), updates the archiving status in M-Files, and secures the entire process.

Xelians is a certified French Electronic Archiving System (SAE) — ISO 27001, HDS, Vitam, NF Z42-013 and NF 461 certified — giving your archived documents long-term, tamper-proof, probative value.

How it works — five steps:

  1. Flagging — the document is flagged “To archive”, manually or via your M-Files workflows.
  2. Automatic detection — the connector identifies the document and queues it for asynchronous processing.
  3. Archive package creation — files and metadata are formatted to the standard expected by Xelians.
  4. Transmission — secure delivery to the Xelians SAE via Xelians Data Hub.
  5. Return to M-Files — status update, with the archive link and acknowledgment of receipt added to the document.

Fully configurable:

  • Multiple archiving cases — each document class follows its own rule.
  • Document fate after archiving: kept with link and acknowledgment of receipt, kept as-is, file-only deletion (metadata card retained), or full deletion.
  • Intermediate archiving (the document continues its life in M-Files) or final archiving (read-only).
  • M-Files-to-SAE metadata mapping, including from related objects (up to three levels).
  • Centralized SAE connection: URL, credentials and rules managed from the M-Files configuration.

Reliability:

  • Pre-send checks: file size, format, empty files.
  • “Error” status tracked on the document, with native M-Files logging.
  • Failed items automatically requeued, with results monitoring.

Requirements

An active Xelians Electronic Archiving System (SAE) contract is required. Kpass Solutions can assist customers who do not yet have one.

Customer use case

Confidential — French social housing provider (name available on request).

Challenge. An organization must keep an off-site copy of its business records for the duration set by regulation, in a form that will still be admissible years later. A conventional backup does not answer that requirement: it protects against data loss, but it carries no proof of integrity, no acknowledgment of deposit, and no retention rule attached to each record. Everything lives in M-Files, which is a document management system rather than a certified archiving system — so meeting the obligation meant exporting documents, assembling their metadata by hand, sending them to the archiving operator separately, and keeping no trace inside M-Files of what had actually been deposited, or where.

Solution. With SAE-Xelians Manager installed on their existing M-Files vault, externalized retention is triggered from M-Files itself: the document is flagged “To archive”, manually or by a workflow at the point its business process closes. The connector detects it, queues it for asynchronous processing so users are never blocked, locks it read-only to guarantee integrity, assembles the archive package — files plus the metadata mapped from the document and its related objects, up to three levels — and transmits it securely to the Xelians SAE via Xelians Data Hub. Each document class follows its own rule: intermediate archiving for records that continue their life in M-Files, final archiving for those that must become read-only.

Outcome. The archiving status, the link to the archive and the acknowledgment of receipt are written back onto the M-Files document, so the organization holds, inside its own vault, the proof that each record was deposited and the means to retrieve it. Records are retained off-site in a certified SAE — ISO 27001, HDS, Vitam, NF Z42-013 and NF 461 — with probative value for the whole regulatory retention period. Pre-send checks catch problem files before transmission and failed items are requeued automatically, so compliance does not depend on anyone remembering to do it.
