vaultkraft.ai integrates local AI inference directly into M-Files. Language models that run in an environment you control analyze your documents. The results flow back into your vault as metadata, classifications and structured information. Users keep working in the familiar M-Files interface, and the AI runs in the background.

Deployment options

On-premises: vaultkraft.ai runs entirely within your own infrastructure on local GPU servers. This is the right fit for organizations with the highest security requirements or existing hardware.

Hosted in Austria: In partnership with RRZ, a certified data center in Styria, and its AI Factory, vaultkraft.ai is also available as a managed service. You do not need to invest in your own AI hardware, and you get the same guarantees: EU hosting, no data retention and no use of your data for training.

Customer use case: Automated processing of incoming invoices and delivery notes

Accounts payable teams handle many incoming invoices and delivery notes every month. They arrive by email, as PDFs or on paper, and each supplier uses a different layout. vaultkraft.ai automates the intake process directly in M-Files:

1. Document intake: Invoices and delivery notes come into M-Files from email inboxes, scanners or file drops. vaultkraft.ai recognizes the document type automatically.
2. AI-based data extraction: The local language model extracts supplier name, invoice and delivery note numbers, dates, order references, line items, amounts, VAT and payment terms, regardless of supplier layout. No template training is needed.
3. Database lookup: The extracted data is matched against your ERP system or supplier master data. vaultkraft.ai links related order numbers and cost centers.
4. Supplier check: Each invoice is validated against supplier master data, such as company name, address, VAT ID and bank details. Deviations are flagged automatically.
5. Setting metadata: Validated information is written to the document as M-Files metadata. Invoices are linked to the matching delivery notes, orders and supplier objects.
6. Workflow control: Based on the metadata, vaultkraft.ai starts the correct M-Files workflow and routes invoices to the responsible approver.

The result: invoices and delivery notes are captured, checked, linked and routed without manual effort. Accounts payable teams can focus on exceptions, and management gets an auditable process from receipt to payment.
