Oodrive Manager
Oodrive Manager automatically exports your M-Files documents to Oodrive, Europe’s leading trusted collaboration cloud, SecNumCloud-qualified by ANSSI since 2019. Documents are copied on a configurable schedule into an Oodrive folder structure generated from your M-Files metadata, with full export traceability on every document. Use it to collaborate securely with partners and teams beyond your vault, or to keep business-critical documents accessible for operational cyber-resilience (BCP/DRP) even if your information system goes down. No manual exporting, no re-filing — your documents stay protected, sovereign, and always in sync.
Product Description
Oodrive Manager is a native M-Files vault application published by Kpass Solutions. It automatically copies your M-Files documents to your Oodrive space, organizing them into a folder structure generated from your M-Files metadata, with full export traceability.
Collaborate with total digital confidence: Oodrive protects strategic documents and sensitive data for organizations across Europe. It is the leading trusted collaboration platform in Europe, SecNumCloud-qualified by ANSSI since 2019.
Your benefits:
- Sovereignty and security — your documents live in the Oodrive trusted cloud (SecNumCloud, HDS, ISO 27001/27701 certified), shielded from the US Cloud Act and FISA.
- Cyber-resilience (BCP/DRP) — your critical documents stay accessible to your teams even if your information system is down.
- 100% automated — scheduled export (e.g. every night), selected by a simple metadata flag: no user action required.
- Controlled classification — the Oodrive folder structure is generated from your document metadata, with export status tracked on every document.
How it works — five steps:
- Flagging — the “Export to Oodrive” metadata is set to “Yes”, manually or via your M-Files workflows.
- Scheduling — the export job runs at your chosen frequency, with no impact on users.
- Selection — the connector searches for document versions not yet exported; the document is protected during processing.
- Export — files are copied into the Oodrive folder structure generated from your metadata (multi-file documents supported).
- Traceability — export status (Exported / Failed) and the last exported version are recorded on the M-Files document.
Fully configurable:
- Export frequency configurable to match your operational constraints.
- Two-level folder structure built from your document metadata.
- Export criteria driven by metadata, controllable from your M-Files workflows.
- Configurable heartbeat signal for your monitoring.
Security and operations:
- OAuth 2.0 authentication, credentials secured in Azure Key Vault.
- Windows Event Log logging and a regular heartbeat signal for security monitoring.
- De-duplicated file names, forbidden characters handled, unclassified documents grouped into a dedicated folder.
Two ways to use Oodrive:
- Secure collaborative platform — co-editing, sharing and collaboration on sensitive files with teams and partners, in a sovereign cloud (SecNumCloud, HDS, ISO 27001/27701).
- Operational cyber-resilience (BCP/DRP) — keep operating even if your information system is compromised: crisis units and business teams retain access to essential resources.

Challenge. Part of what an organization keeps in M-Files is sensitive by nature: contractual files, HR and regulatory records, project and quality data tied to its critical business processes. That material has to exist outside the vault as well — in a sovereign, qualified cloud — so that it remains available and protected independently of the organization’s own information system. Doing that by hand does not scale: someone has to identify what is sensitive, export it, re-file it in a separate folder structure, and start again at every new version, with no reliable record of what was externalized and when.
Solution. With Oodrive Manager installed on their existing M-Files vault, externalization becomes a property of the document rather than a manual task. The “Export to Oodrive” metadata is set to Yes — manually, or automatically by an M-Files workflow, so that a document becomes eligible for externalization at the exact point in its business process where it should. A scheduled job then picks up the versions not yet exported, protects the document during processing, and copies the files into an Oodrive folder structure generated directly from the document metadata: the classification in the sovereign cloud mirrors the classification in M-Files, with no one maintaining it.
Outcome. Sensitive documents and their business data are externalized continuously and selectively, with export status and the last exported version written back onto each M-Files document — so the organization can tell at any moment what exists outside the vault. The externalized copy sits in a SecNumCloud-qualified, ISO 27001/27701-certified cloud, shielded from the US Cloud Act and FISA, where it serves both secure collaboration with external partners and operational cyber-resilience: crisis units and business teams keep access to essential resources even if the information system is down.
